Position Overview

The Operations Administrator will assist the VP of Operations and Customer Service. This position has a large amount of customer interaction as well as internal collaboration. You will be responsible for customer coordination and scheduling and back office documentation.

Responsibilities

This is a full time, minimum 40 hour per week position.

  • Manage all projects through Tigerpaw\Connectwise Project module and dispatch board required for project tasks, including resources, milestones, time estimates and change-order requirements.
  • Interface with customers and vendors on each assigned project.
  • Manage and ensure no cost overruns from assigned projects without appropriate change order or CCI-management notification and approval.
  • Complete necessary documentation as needed or required by Management or Project Managers.
  • Work with other teammates to make sure technical resources are scheduled each day.
  • Weekly status reports on projects to management.
  • Completes high quality work with thoroughness and accuracy to achieve results. Thoroughly follows standards and procedures. Keeps complete records. Pays adequate attention to detail.
  • Completes assignments by or before deadline. Produces acceptable quantity of work. Maintains control of work regardless of environmental pressures. Manages priorities. Accepts new responsibilities.
  • Modifying user accounts/email settings/profiles
  • Maintain the accuracy of information within the CCI central data repository (i.e. Tiger Paw). Verify and update when necessary customer account information such as account name, address, main telephone number, point of contact (POC ) name, POC email address, POC telephone number
  • Advise management immediately of any callouts, customer escalations and issues.
  • Coordinate and assist in the assignment, scheduling, and dispatching of all technical resources for service and installation related activities. This includes coordinating technical resources for projects run by Project Managers.
  • Update and completely close tickets and finalize service billing and invoicing for service and project work including emailing to clients.
  • Provide assistance to the Operations Department on an as needed basis and other duties as assigned.
